Empire Property Sales Ltd (“we”, “us”) is a buyer-side property research and matching service. We are registered in England & Wales under company number 14925189. We are the controller of the personal information described in this policy.

What we collect
- Contact details you give us: name, email address, telephone number and preferred contact method.
- Search details: your budget range, target areas, property preferences, timescale and the requirements you ask us to work to.
- Buying position: whether you have a mortgage agreement in principle or a property to sell, where you choose to share this.
- Correspondence: messages, emails and notes from calls relating to your search.
- Payment records: amounts paid and dates. Card details are handled by our payment provider and are not stored by us.
- Website data: standard technical information such as pages visited, recorded through cookies as described in our cookies policy.
Why we use it
We use your information to prepare your buyer brief, carry out research and comparison work, produce your shortlist, answer your questions, keep records of the work carried out, take payment and meet our legal and accounting obligations.
Our lawful bases are the performance of our contract with you, our legitimate interests in running the service, your consent where you have given it, and compliance with legal obligations.
What we do not do
We do not sell your personal information. We do not share it for marketing purposes. We do not pass your requirements or contact details to sellers, developers, mortgage brokers, conveyancers or other third-party introducers. We do not use your information to build profiles for advertising.
Who we share it with
We share information only where necessary: with our website and email hosting providers, with our payment provider to process fees, with professional advisers where required, and with authorities where we are legally obliged to do so. Providers acting on our behalf are required to keep the information confidential and to use it only for the purpose we specify.
How long we keep it
We keep search records and correspondence for six years from the end of our work with you, which reflects our accounting and record-keeping obligations. Website analytics data is kept for a shorter period. Information that is no longer needed is deleted.
Your rights
You have the right to request access to the information we hold about you, to have inaccurate information corrected, to ask us to delete information where there is no continuing reason for us to hold it, to restrict or object to certain processing, and to receive information you provided in a portable format.
